The case for a forms app, and against one

GoCanvas is a form builder for crews. You drag fields onto a page to make your own inspection sheet, work order or checklist. A tech fills it on a phone, snaps photos that get stamped, and hands the phone over for a signature. Each one comes back as a PDF that can email itself out.

The strongest case for it comes from the field. Lee L., a finance manager at a home-services shop, describes meeting a homeowner and getting the contract signed right there in the living room. It lands in a PDF on the spot. That is a trade use with real weight. A signed contract or a finished inspection, done on the couch, with no paper and no retyping. If forms are the job, GoCanvas does them.

But look at your current tool first. Jobber, Housecall Pro and ServiceTitan already build custom forms, capture photos and take a customer signature on their own work orders. If one of those runs your day, GoCanvas is a second per-user bill for something you already have. We would only add it when the form you need is one your field-service tool cannot build, or when you run no job software at all. Open your current tool, try to build the form you have in mind, and see how far it gets before you price a second app.

Per user, three seats, and the annual catch

Three plans, all priced per user a month, all billed annually. Essentials is $29, Pro is $39 and Max is $49 per user, as of August 2026. There is no month-to-month price we could find, so plan on committing for the year.

The number that trips people up is the 3-user minimum. Every plan starts at three seats whether you have three techs or one. A solo operator pays $87 a month on Essentials, not $29. A three-person shop pays the same $87. Add a fourth tech and Essentials climbs to $116 a month. Pro at the floor is $117 and Max is $147.

Forms and submissions are unlimited on all three plans, so the price grows with people, not paperwork. Essentials covers the mobile app with offline access, photo capture, PDF reports, dispatch and scheduling, and email, chat and phone support. Pro adds multi-user workflows, customer and project management, API access and instructor-led onboarding. Max adds departments, live data sources, single sign-on, web forms and one custom form build. Custom integrations, custom analytics and white label are add-ons, and none of them list a price.

Offline capture, PDFs, and the integrations fine print

Day to day, the work happens on the phone. A tech opens the form for the job, fills it in, and snaps photos that get a timestamp. The customer signs with a finger or stylus, and the signature drops into the PDF the form builds. That PDF can send on its own, so a finished inspection reaches the office or the customer without anyone retyping it.

Offline is covered on every plan, Essentials included. A crew can fill forms with no signal, and they sync when the phone is back in range. For basements, crawlspaces and rural sites with dead coverage, that is the difference between filling the form now and filling it twice.

Connecting GoCanvas to your back office is where you read the fine print. It names QuickBooks Online, Salesforce, NetSuite and Procore, and points to a wider list through an open API and webhooks. But API access does not arrive until Pro, at $39 per user a month. And the vendor says some connectors are included while others may cost extra, without saying which plan a given one needs. Price that in if a live link to your accounting is the reason you are buying.

The setup takes work, and support helps

The steady theme in owner accounts is that GoCanvas rewards setup effort and punishes shops that expect to skip it. Troy N., a VP of operations in construction, puts the trade-off plainly. It takes time to build the apps the way you want, he says, but it can be powerful once you invest that time.

Trevor D., a managing director in environmental services, says the same and credits the people who walk you through it. You have to put a lot of effort into setup to get the return, he notes, but he calls the implementation team exceptional during that phase.

If building forms from scratch is not your thing, the support desk will do it for you. Marc M., a coordinator in mechanical and industrial work, found that the useful part. If you cannot or do not have time to learn the software, he says, their support will design and build almost any form you can think of.

So the pattern holds. The tool is powerful once configured, the configuring takes real hours, and the implementation team carries a lot of that load. Instructor-led onboarding does not start until Pro, though, so on Essentials you are setting it up yourself or leaning on support case by case.

Two cautions. These reviews come from Capterra, which is vendor-solicited and skews positive, so we weight the complaints more heavily than the praise. And the complaints are there: Troy N. followed his praise with a note that the billing turned into a problem after a friendly start. Confirm what you will be billed, and how, before the trial call ends.

Who should buy, and who should pass

Buy GoCanvas if forms are the job. A shop built on custom inspections, safety checklists or compliance sheets gets a capable tool: unlimited forms, offline capture, photos, signatures and a clean PDF every time. That holds if you run no field-service software, or run one that cannot build the form you need. Budget from the three-user floor, so $87 a month on Essentials or $117 on Pro, as of August 2026, and expect a sales call before you can start.

Pass on it if your field-service tool already captures forms and signatures. If Jobber, Housecall Pro or ServiceTitan runs your jobs, they take photos and a signature on the work order you already pay for. A second per-user bill is hard to justify. A solo operator watching every dollar should also weigh the three-seat minimum, which turns a $29 sticker into $87 a month before the first form is built.

If you do move ahead, go in with two numbers ready: your true crew size and the annual total at that size. Price both before the call, so the figure does not drift once a salesperson is walking you through it. And put aside a week for setup, because the owners who like GoCanvas are the ones who spent that time up front.
